How To Video Guides
OnTrax Timesheets is an extremely flexible software
application that integrates Time Tracking and project tracking functionality.
With this flexibility comes both power and utility when configured they way your
business operates. To increase user understanding, and to make sure each of our
customers gets the most out of our products, below is a list of on-line user
videos that demonstrate the basic configuration and concepts incorporated into
the product. Please use them as often as you wish, and check back frequently for
additional publications and/or demonstrations.

OnTrax Introduction/Overview -
The perfect place to start to get a high level introduction to the product, how
to log in, and some of the basic features a new user would want to know about.
Application Configuration - The application configuration
screen is where the base configuration for your entire company is performed.
Elements such as your fiscal calendar, work days, system messages etc. are
configured here.
Customer Billing - Customer billing is an area of the
application where data that is collected within the application for the purpose
of Time & Billing can then be exported to external accounting systems. Data is
automatically converted to the proper format for each target system supported by
the application.
Project Overview - Project Tracking is at the heart of the
application. This presentation describes the project area sub-menu, the elements
within that sub-menu, and what to consider when setting up the project area of
the application.
Create & Configure an Individual Project - A step by step
guide on how to create and configure an individual project. Covers item
assignment, user assignment, parameter setting and related items. All important
when using the application for project tracking and/or time and billing
functionality.
Project Planning & Task Tracking - Demonstrates how to
set up and configure project plans that are Task based. OnTrax Timesheets allows
for project planning and tracking at either an item level (higher 'category'
level) or at the actual task level via a work breakdown structure. This video
demonstrates how to set up a work breakdown structure and its applicable
settings.
Reporting Overview - Formatted & OLAP - Within the
application there are two areas of reporting. The first is formatted reporting,
which is comprised of standard, pre-defined reports covering all areas of the
application. The second is an OLAP area of reporting, where users can define
their own reports, and navigate through the result set via drill down/across
functionality. This video provides a high level overview of both.
Corporate Budgeting Overview - Within OnTrax Timesheets,
planning is performed on the project level, and budgeting is used for planning
or budgeting for a group of projects. Example: A budget is created for each
individual cost center on a fiscal basis, while one unique cost center can
undertake multiple projects and track them at the project task level. This video
provides an overview of the budgeting functionality within the application, and
how to configure and enter a budget.
User Log-in Overview
- Demonstrates how to log into the application, and how to disable pop-up
blockers etc. that may keep an individual user from access the OnTrax time
tracking and project management system.
Workflow Overview
- Demonstrates the use of workflow in order to accommodate multiple approval paths.
